The application allows you to configure notification alerts about the upcoming expiration date for their critical documents.
You can configure the notification daily, monthly, weekly, half yearly and so on. A notification will be triggered to the suppliers as an initial notification, follow-up notification, expiry notification, and post-process notification.
Let us understand these notifications in detail below:
- Initial Notification: A notification sent well in advance of the expiry date (For example, 30 days before expiry).
- Follow-up Notification: Additional notifications sent closer to the expiry date (For example, 1 month, 7 days, 1 day before expiry).
- Expiry Notification: A notification sent on the day of expiry.
- Post-Expiry Notification: Notifications sent after the document has expired (For example , 1 day, 7 days post-expiry).
Expiry notifications are only sent to users during batch processing when the Enabled value is set to True. If the Enabled value is False, expiry notifications will not be sent.

Configure new notification for document expiry rule via UI
You can define a document expiry rule to notify suppliers via UI. Upon defining the rule, the application automatically notifies the supplier about the document expiry.
To define a new notification for a document expiry rule:

On the navigation menu, click the Reference Data Library app.

Result: The Search page is displayed.

Select the Document Notification Configuration reference type from the drop-down and click Apply.

Result: A list of notifications is displayed.

Click on the
icon.
Result: The Reference Data Attributes are displayed in a split window.

Enter the values and click Save.

Result: The Search page displays the newly added document notification.

Configure new notification for document expiry rule via excel
You can define a document expiry rule to notify suppliers via excel. Upon defining the rule, the application automatically notifies the supplier about the document expiry.
To define a new notification for a document expiry rule using excel:

On the navigation menu, click the Reference Data Library app.

Result: The Search page is displayed.

Select the Document Notification Configuration reference type from the drop-down and click Apply.

Result: A list of document notifications is displayed.

Select any one record and click the Download icon and choose Download in Excel.

Result: The Download Bulk Entities page is displayed.

Click Download All.

Click on Finish & Close to download the excel to your local directory.

Open the downloaded excel file to add the details and save the file.

Navigate to the Search page of Reference Data Library app and click the Upload icon.

Drag and drop the excel file or click on the Upload button and select the excel file to upload the data.

Click the Show task details button.

Result: The Task Detail page is displayed.

Refresh the page to confirm the upload status.

Navigate back to the Search page of Reference Data Library app to view the newly added notifications.
